Build-up Times

When can I set up my stand?
Saturday 22nd August - 8am –6pm

What if I need to get in early?
If you have heavy equipment that needs to be brought in using the forklift and will need access before the carpet is laid, please contact Nick Batty on + 64 21 976 830 prior to show build up. 

Breakdown Times

When can I start breaking down?
Break-down will commence at 5.15pm on Tuesday once the show has been officially closed and all the visitors have been removed.  Breakdown times are Tuesday 25th August 5.15pm - 9.00pm and Wednesday 26th August 8.00am - 12noon

What if I need to leave early?
There must be someone on your stand until the show closes on Tuesday at 5pm – No Exceptions.  Please ensure that your stand is staffed until the show officially closes.

Eftpos / Internet Or Phone Lines?

How can I get eftpos on my stand?
Eftpos is available from Noel Anjaiya of Eftpos Technologies (Phone: 09 837 8555)  

How can I get a phone or internet line on my stand?
Phone Lines need to be arranged by Telecom.  Just dial 126 and ask for a temporary phone line.  Give them the venue address, your stand number and a contact number.  Phone & Internet lines must be organized at least one week prior to the show.   Connection Order Form PDF [43 KB]

Is there free internet access available at the show?
Unfortunately there is no free internet access available at the venue.  You will need to either organize a dial-up or jetstream line from Telecom or you can purchase wireless connection cards from Vodafone and other providers.

How do I supply the information about my company for the event guide supplied to visitors to WINE 2009?
Enter your details online at www.hospitalitynz.co.nz/wineeventguide prior to 9am 10 July 2009.

Nameplate

Where do I order the free company nameplate for my stand?
Complete and return the nameplate form » by 9am 27 July 2009. One nameplate per stand will be placed at the back of your stand during build up and will stick onto the panel system with Velcro.

Exhibitor Badges

How do I organize name badges for the staff working on my stand?
You will need to enter the names of all of your staff working at the show online at www.hospitalitynz.co.nz/badges  prior to 9am 24 July 2009. Onsite badge production will incur a $2 charge (per badge) and trade ID may be requested to ensure legitimacy of staff members.

Will they be sent out prior to the show? 
Badges received before the deadline date will be posted out a week prior to the show. Late badges will be collected at the Show Information desk during build up.

Why do I have to wear one?
Your exhibitor badge provides you with access to your stand one hour before the show opens.  If you are not wearing your badge you can not gain entry to the halls before the show opens. These badges will allow access to the Exhibitor Car Park (Entry through Gate B). Parking is on a first in, first served basis. Additional Parking is available and the cost is $6.00.

What do I do if I have lost my badge, need a name change or a new badge?
Go to the information desk and we will print the required badges.  Please be aware however that there is a $2 charge per badge for all badges made at the show.

Panels, Carpet, Power & Lighting, Trackers

Where can I order extra Lighting and Power?
This can be ordered through Show Light & Power.  Please note that you will be charged directly from Show Light and Power for any additional items.  PDF Format Showlight order form »

Where can I get extra panels or carpet?

Can I change the colour of my panels or carpet?
Yes you can but there is a small fee for this service.  You will need to complete either the Panel or Carpet change out form and send to Exhibition Hire Services.  Please note that changes may not be available at the show unless previously ordered. PDF Format  Form to change panel or carpet colour »

What is the thickness of the panels?
The panels are 35mm thick.

What do I need to do if I'm using LPG - capacity restrictions ?
If you are using LPG at the show we need to know the amount you are expecting to consume and the size cylinder you will be using. You may be also required to have a hazardous goods certificate / dangerous goods location certificate.

We will need to discuss your situation individually and address compliance accordingly. Please contact Nick Batty - Operations Manager for discussion and prior approval

Can I nail or screw items to the panels?
 Please do not screw or nail any items to the panels.  This would be considered damage and you would be charged for any damage to the panels. Art hooks and Velcro for attaching signage etc to your stand can be purchased from Exhibition Hire Service during build up.

Can I cut the carpet?
No – absolutely not.  You would be charged the cost of a new carpet tile if the carpet is damaged.  If you would like your carpet tiles removed please contact Nick Batty on 09 976 8302 or 021 976 830

Where can I get a tracker from?
Trackers scan visitor badges at your stand - they are a great way of electronically storing visitor information to drop into your database after the show. If you wish to order a 2D Barcode Tracker for your stand and don’t have one included in your advertising package, use this

Show Hours

What are the show hours?
Sunday, 23rd August 12noon – 5pm,
Monday, 24th August 11am – 5pm,
Tuesday, 25th August 11am – 5pm.

What time can I get in to prepare my stand each day?
Access with security passes is permitted 1 hour prior to show opening. Exhibitors will be required to vacate the pavilions 5 minutes after the close of each show day.

Where can I park?
Exhibitor badges will allow access to the Exhibitor Car Park at the venue (Entry through Gate B). Parking is on a first in, first served basis. Additional Parking is available and the cost is $6.00.

Where can I store empty boxes or other items?
Limited storage facilities are available at the back of the venue in the form of 20 foot containers. These will be labelled as Hospitality Show storage areas. This is for non-valuable packaging materials only.
